Use the Month-end close card to get every charge for the month coded, approved and synced, check totals by GL account, and close the month.
Month close in Summit Spend lives at the top of the Accounting page, in the Month-end close card. Pick the month in the menu at the top right of the card. The card shows three counts: Synced, Ready to sync and Needs review. The goal is simple: get Needs review to zero.
Click Code N uncoded transactions to jump straight to anything still uncoded. Apply the Suggested coding at the top of each charge, or tick a batch and use Bulk Code. Then work through the Needs Review tab on Transactions. Open a charge to see what's still missing: coding, approval, a receipt or a memo. For missing receipts and memos, go to Approvals, Missing items, tick the charges and click Remind cardholders. Personal charges on the company card? Use Mark Excluded to keep them out of accounting.
Once charges are Ready, send them to your accounting system: Sync All on the Ready tab of Transactions, or the export buttons on the Accounting page. If any fail, open the charge. The Sync to Sage Intacct box at the top shows Sync Error, and the banner says what went wrong in plain words. The most common causes: the accounting period is closed in your accounting system, a required field like department or project is missing, or the card isn't mapped. Fix the cause, then click Retry sync, or Retry N Failed to send them all again.
Use the table by GL account on the close card to check totals against your books. When it's done, an Admin clicks Close and the month's name, then confirms. Reopen undoes it. Closing a month in Summit isn't a hard lock: if a charge dated in a closed month syncs later, it posts on the first open day.
When a new month starts, nothing disappears. Transactions, Approvals and the Accounting page keep showing every open item, whatever month it's from. Only card spend totals reset, on the 1st, or on the card's billing cycle day if it has one.
