Integration guide

Connect Procore to Summit Spend

Bring projects, commitments, owner and subcontractor pay applications, and vendor information into Summit Spend for construction review and accounting reconciliation.

The integration is available for developer-sandbox testing. Customer production connections require Procore approval and production activation.

Before you start

  • A Summit Spend organization with Construction enabled and permission to manage construction integrations. Contact your organization administrator if Procore is missing from Settings.
  • A Procore user who can access the intended company, its projects, Company Directory, Commitments, Prime Contracts, Change Orders, and Invoicing data.
  • Access to private contracts, their schedules of values, and invoice details where needed. Ask your Procore administrator to grant access only to the records you want synced. Tool access alone may not include private financial records.
  • A Procore company administrator to install the app. During certification, use the sandbox version key supplied by Summit Spend. Never install a sandbox version in a customer production account.

Install and connect

  1. In Procore, open Company Admin → App Management. Install the Summit Spend app using the version provided for your environment.
  2. Open Summit Spend Settings → Integrations, sign in, and select the Summit Spend organization you intend to connect.
  3. Find Procore in the ERP integrations tab and select Connect Procore. Sign in on Procore's authorization page with the user whose access should be used for syncing.
  4. After Procore returns you to Summit Spend, choose the Procore company if your account has access to more than one. Verify the company name before completing the connection. A single available company connects automatically.
  5. Confirm that the Procore card shows the intended company as connected. Select Sync now, then check the updated sync time and the Construction workspace.
  6. Review project and vendor mappings to your accounting system before relying on reconciliation results. Investigate missing or unmapped records in the review findings.

Each Summit Spend organization connects to one Procore company. Reconnecting must use that same company so historical construction data stays consistent. Use a separate Summit Spend organization for a different company.

What the integration does

Summit Spend reads Procore data using your user authorization. It does not create a Procore service account and does not write approvals, payments, contracts, or changes back to Procore. Access is limited by the connecting user's Procore permissions.

Sync runs hourly and can also be started manually. Pay application reviews run when relevant source records change; unchanged hourly syncs do not trigger repeat reviews. Records you cannot access in Procore may be absent from the results.

AI draft assistance is optional and controlled by your organization's AI settings. When enabled, relevant pay application and review context is processed by our AI provider, Anthropic, to prepare a draft for a person to review. Drafts are not automatically sent to Procore or vendors. Standard synchronization does not require AI draft generation.

Troubleshooting

  • Connection expired or cancelled: return to Integrations and start Connect Procore again. Company selection expires after ten minutes. Cancelling an incomplete reconnect preserves the previous connection.
  • Wrong company: cancel before confirming. An established organization cannot be reassigned to a different Procore company through reconnect.
  • Missing projects, invoices, or private contracts: ask your Procore administrator to verify the connecting user's project membership, financial tool permissions, and private-record access.
  • Reconnect required: reauthorize with an appropriate Procore user for the same company. Sync cannot continue when the provider revokes the user's access.
  • Sync delayed: Procore rate limits or temporary service errors can delay a run. Check the last sync time before trying again; persistent errors should be sent to Summit Spend support.

Disconnect and data retention

In Settings → Integrations, select Disconnect on the Procore card. This clears the stored OAuth tokens and stops future syncing. Previously synchronized construction records and review history are retained in Summit Spend. Disconnecting does not uninstall the app from Procore; your Procore administrator can manage or remove its installation separately.
